The real cost of biometric attendance is decided by four things. Which sensor survives your floor. What you keep paying every year. Whether punches still record during a GIDC power cut. And whether the report drops cleanly into your payroll or lands as a mess your accountant has to retype.

Get those four right and the machine quietly earns its keep by ending salary arguments. Get them wrong and you have bought a box on the wall that everyone stops trusting.

The 5 things that actually decide your attendance setup

1. Face or fingerprint — match it to your floor, not the brochure

This is where most buyers get stung, because office advice gets sold to a factory. In a clean office or shop, a fingerprint reader is fine and usually the cheaper choice.

On a dusty, greasy GIDC shop floor in Vatva, Naroda, Odhav, Changodar or Sanand, it is a different story. Dust, oil, moisture and worn fingertips from manual work defeat fingerprint sensors, often within a few months. The reader starts rejecting genuine workers, the supervisor gives up, and everyone drifts back to the register.

For factory and workshop floors our default advice is face recognition: contactless, sub-second, nothing on the hand to gum it up. For a mixed workforce, a hybrid unit (face plus fingerprint plus card) is the safest real-world answer. A worker whose fingerprint won't read simply falls back to face or card.

2. The yearly bill — the trap hidden under a low machine price

The single biggest unbudgeted surprise is not the machine. It is the recurring software or cloud fee that a cheap quote leaves out.

A device can be quoted attractively low while a per-device cloud subscription, or a per-employee monthly fee, runs quietly in the background from month one. Some "cloud" systems even lock your own attendance data behind that subscription, so the day you stop paying, you lose your dashboard.

The right move is to ask every vendor for the three-year total cost in writing: machine, install and any software, cloud, per-branch or integration fees, not just the box price. 3. What happens when the power or internet drops

In Gujarat this is not theoretical. Scheduled cuts and voltage swings are part of GIDC life, and the monsoon makes both worse.

A properly chosen machine stores both the staff templates and the punch logs in its own on-device memory and syncs them automatically once power or net returns, so a power cut alone should not cost you the day's attendance.

The catch is capacity. Cheaper units hold far fewer templates and logs than the brochure suggests, so confirm the actual numbers for your headcount before you buy. A small UPS on the device, and on any door controller, carries you cleanly through the short cuts.

4. Payroll-ready reports, not raw punch logs

A machine that hands you a wall of raw in-out times has just moved the work, not removed it. What ends arguments is a report that auto-calculates late marks, overtime, half-days and shift rosters and exports in a form your accountant already uses. Many current systems can email it daily or monthly straight to them.

5. How many readers for your shift workforce

Headcount alone does not size this. The peak window does. A single reader is fine for one entrance and a smaller team.

But if a couple of hundred workers all have to cross one gate inside a ten-minute shift change, even a fast reader will queue, and a queue at the gate becomes a payroll dispute. Plan by the flow through each entry point during the busiest minutes, not by total staff.

How many people one reader can clear depends on how fast it actually reads and how long your shift-change rush lasts. Beyond a comfortable single line, you add a reader or open a second gate. The honest answer to "how many machines" comes from counting your entry points and shift pattern on site, not from a sales target.

If the same machine also opens a door

Attendance often shares a device with door access for a server room, cash room or store. The moment a lock is involved, one safety question matters more than any feature: what happens to that door in a power cut?

  • Fail-safe (magnetic lock): the door unlocks when power is lost. This is the life-safety choice for main and exit doors, so staff are never trapped inside. Most maglocks are inherently fail-safe.
  • Fail-secure (electric strike): the door stays locked on power loss. Use only where security genuinely must win over convenience, never on a route people exit through.
  • Always pair the lock with a manual exit button inside, so people can leave even if the reader is down.
  • Back the controller with a small UPS so a brief cut doesn't drop access entirely.

Is it even legal to take staff fingerprints or faces?

Broadly yes, with consent, and there is one specific trap to avoid. Under the DPDP Act, a fingerprint or face counts as personal data, so for attendance you should take clear, informed consent from each worker, and the data should be encrypted and access-controlled.

The trap is Aadhaar. As a general rule an employer should not force Aadhaar biometrics for attendance, and should not reuse the Aadhaar you collected for PF or ESI to identify staff for attendance without separate consent. The clean, low-risk route is to enrol staff on the device's own face or fingerprint template, stored locally and encrypted on the machine, rather than on Aadhaar.

Where a too-cheap quote is usually cutting corners

If one quote is dramatically lower than the rest, it is almost always one of these:

  • An office-grade fingerprint sensor sold for a greasy factory floor: fine for a few months, then failing
  • A low machine price with a recurring cloud or per-employee fee left off the page
  • Inflated capacity or accuracy claims on a unit that lags and drops punches in real use
  • A face unit with no liveness check, so a printed photo can fool it
  • "Cloud-based" framed as a feature when it is really lock-in, with your data hostage to the subscription
  • One slow reader where a shift-change crowd needs two, or a second gate
